How to set dynamic CTA buttons for Teammates?

A dynamic CTA button lets every teammate in a group carry the same button with their own link behind it. In the template editor, the button's Title and its URL each have a separate dynamic toggle. Turn one on and that half of the button becomes a per teammate field instead of a fixed value.

This is set on the template, not on individual signatures, so one change covers everyone in every group using that template.

What the Title and URL toggles do

The two toggles are independent, which gives you four outcomes. Only three of them are useful in practice.

Before you start

If your template has no button yet, add one first. Adding a CTA button to your signature covers that step.

Turn on dynamic CTA in a template

  1. Open the template. Go to TEMPLATES and open the template you want to change. Editing a personal signature in MY SIGNATURES affects that one person only.
  2. Select the CTA button. Click the button element in the editor to open its settings.
  3. Set the toggles. Turn on the dynamic toggle for Title, for URL, or for both, using the table above to decide.

  1. Fill in anything still static. If you left Title off, type the label every teammate will share. If you left URL off, paste the shared destination.
  2. Save the template. Every signature in every group linked to that template rebuilds with the new field.

Keep the Title static and turn on only the URL toggle. Every signature in the company then shows the same button text, for example "Book a meeting", while each teammate's button opens their own booking page.

You get two things from this. The call to action stays consistent, so nobody ships a button reading "book a chat w/ me". And the click lands on the right calendar, which is the part that actually matters to a prospect. Changing the wording later is one template edit rather than 40 separate corrections.

The same logic applies to any per person destination: a rep's personal meeting link, a recruiter's scheduling page, a support engineer's intake form.

Once the field is dynamic, it appears as an extra field on the teammate record. There are two ways to populate it.

  • You fill it in. Open TEAMMATES, open the person, and paste their URL. Faster, and you can sanity check every link before it goes live.
  • They fill it in. Invite the teammate, and they complete the open field after logging in. Slower to reach full coverage, better for links only they have.

Whichever route you take, the field belongs to the teammate record, so a person moved to another group keeps their link as long as the new group's template also has a dynamic CTA.

What happens after you save

  • Every linked signature updates. There is no per teammate step and no way to update half a group.
  • Publishing takes 5 to 10 minutes on the SyncSignature side.
  • Google Workspace users need the signature installed again, unless Auto install is on. Auto install sits on the Google Workspace connection under Integrations, is set once for the whole integration, and is off by default. With it on, the edited signature reaches Gmail on its own. With it off, open the group, select the users, and click Install signature.
  • Microsoft 365 users need no reinstall. The Outlook add-in stamps the signature client-side at compose time, so the next new message carries the new link.
  • Teammates who copy their signature by hand need the new version. Send it to them or ask them to log in and copy it again.
  • An empty URL renders as a dead button. Check coverage in TEAMMATES before you save, not after. With Auto install on there is no manual push left to catch the gap.
