How to Bulk Edit Email Signatures for Teammates?

Bulk editing signatures in SyncSignature means editing the template, not the signatures. Open TEMPLATES, change the logo, the phone number, or the banner, and every signature in every group linked to that template is rebuilt. This is the workflow teams use for a rebrand, an office move, or a company wide phone number change.

One thing to know first: the signatures regenerate on their own, but Gmail holds a stored copy that has to be written again. Who writes it depends on one option. Auto install, on the integration under Integrations, is off until you turn it on. With it off you write that copy yourself from inside the group. With it on, the edit installs itself.

What a bulk edit actually changes

A template is the master copy. A group points at one template, and every teammate in it gets a signature built from that template. So when you edit one:

  • Every signature in every group linked to it is rebuilt, not only the group you are looking at.
  • Each teammate's own details survive. You are changing layout, logo, colors, banner, and static fields, not someone's name or title.
  • Dynamic fields keep pulling from the teammate record. Merge tags like {{name}}, {{title}}, {{department}}, and {{phone}} stay personal.

If two groups share one template and only one should change, duplicate it first.

How to bulk edit signatures for a group

  1. Open TEMPLATES and pick the template the group uses. If unsure, open the group in GROUPS and check the template assigned to it.
  2. Make the change once. New phone number, new logo, a different banner, a swapped social icon.
  3. Save the template. Signatures rebuild for every linked group. Allow 5 to 10 minutes on the SyncSignature side.
  4. Check one signature first. Open the group and view a single teammate to confirm the new detail appears and nothing personal was flattened into a static value.
  5. Reinstall for Google Workspace users, unless Auto install is on. With Auto install off, open the group, select all users, and click Install signature. With it on, the edit installs itself and you can skip this step.
  6. Tell everyone who pastes manually. Teammates who paste their signature by hand need the new copy sent to them, whatever Auto install is set to.

What updates automatically and what needs a push

Whether a bulk edit needs a push from you comes down to Auto install, which is off by default and set once per integration, not per group.

Reinstalling in Google Workspace

SyncSignature writes each signature into Gmail's sendAs setting through Google's Admin SDK. Gmail then owns that copy, which is why a template edit does not reach it until that copy is written again.

To push the update by hand, open the group, select all users, and click Install signature. Repeat for each group using the edited template.

To stop doing that, turn on Auto install for the Google Workspace connection under Integrations. It covers both halves of the job: template edits install themselves, and newly synced users install themselves. A rebrand then reaches every mailbox without anyone opening a group.

The Microsoft 365 path

Outlook works differently. The SyncSignature add-in stamps signatures client-side at compose time, so it pulls the current version every time someone starts a message. After a template edit, wait out the 5 to 10 minute propagation window and the next email carries the new signature. There is no per user reinstall step, and there never was one.

Auto install is available on the Microsoft 365 connection too, under Integrations. Because template edits already reach Outlook on their own, what it covers here is the install of newly synced users. One difference is worth stating plainly: assigning a new teammate to a group is still a manual step on Entra ID, since organizational unit to group auto sync is Google Workspace only.

Microsoft 365 runs on two separate grants, and a bulk edit depends on both already being in place. The first is Microsoft Graph consent for exactly four permissions, User.Read.All, Directory.Read.All, User.Read, and offline_access, which is what keeps directory fields current. The second is the SyncSignature Outlook add-in, approved in the Microsoft 365 admin center through Centralized Deployment.

The 6 to 12 hour wait people mention is Microsoft's, and it applies only when you first deploy the add-in through Centralized Deployment, or target it at a new Entra ID group. None of this touches mail flow: no transport rules, no connectors, no MX changes. How to stage a rebrand across groups

For a phone number fix, edit in place. For a full rebrand, stage it:

  1. Duplicate the live template and edit the copy, so current signatures keep working.
  2. Point one small group at the copy. Your own team is a good pilot.
  3. Install and test. Send real emails and read them on desktop, mobile, and outside your company.
  4. Move the remaining groups over once the pilot looks right.
  5. Retire the old template after no group links to it.

For a phone number change, update it in the template if it is static, and in TEAMMATES if each person has their own. A template edit never overwrites a teammate level field.
