Email signature tool categories: generator, management, and server-side stamping
Email signature tools split into three categories that solve different problems. Knowing which category you need before comparing vendors saves weeks of wasted evaluation.
Free generators are single-user tools that produce an HTML signature you paste into Gmail or Outlook manually. No team dashboard, no directory sync, no campaigns, no analytics. Examples: WiseStamp's free tier, HubSpot Email Signature Generator, Canva Email Signature, Gimmio, Signature Hound. These are the right pick for solo professionals with one signature to maintain. They do not scale past one person.
Client-side management tools give IT admins, marketing teams, or agency operators a central dashboard to design templates, sync employee data from Google Workspace or Microsoft 365, target signatures by group, run banner campaigns, and track clicks. Signatures are injected at compose time inside each user's email client. Email content never leaves Google or Microsoft. Setup is fast and lightweight. Examples: SyncSignature, WiseStamp (paid tiers), MySignature, Newoldstamp, Bybrand, BulkSignature.
Server-side stamping tools route every outbound email through the vendor's cloud to inject the signature before delivery. This gives absolute enforcement (no way for a user to bypass) and supports edge cases like on-premise Exchange, but it adds a third party to your mail path and usually requires IT involvement in setup. Examples: Exclaimer (on Microsoft 365), CodeTwo. These are the right pick for regulated enterprises with strict signature compliance mandates.
Most teams between 5 and 500 employees on cloud email (Google Workspace or Microsoft 365) fit the client-side management category. SyncSignature sits in that category: $2/user/month on Teams, 5-seat minimum, annual billing, every feature included on the base plan. The comparison below covers the full vendor landscape across all three categories so you can self-qualify before reading any spoke page.

Templafy alternativeHow to pick the right email signature tool for your team
When SyncSignature is the right call
You run Google Workspace or Microsoft 365 (cloud). Your team is between 5 and 500 people. You want every feature on one plan without tier upgrades. You need banner campaigns with click analytics without paying for a higher tier. You manage multiple client workspaces as an agency. You want setup in under 30 minutes without IT involvement. You care about email privacy and do not want outbound mail routed through a third-party cloud.
When Exclaimer or CodeTwo is the right call
You run on-premise Exchange. Your procurement requires ISO 27001, SOC 2, or in-region data residency (US, EU, UK, AU). You need SSO, SCIM, audit logs, or CRM integrations today. You want server-side signature stamping for absolute enforcement even on non-standard mail clients.
When WiseStamp is the right call
You are willing to pay a higher base fee ($49/mo+ for Grow) to get campaign analytics, and you already use WiseStamp’s individual product and want to scale to a team without switching.
When Newoldstamp is the right call
You are comfortable with hosted-image signatures and the cancellation lock-in risk, and your team size keeps the per-signature cost competitive. Note: if you cancel Newoldstamp, your signatures stop rendering across every past email.
When Letsignit is the right call
You are a European enterprise with ISO 27001/27018 as a hard procurement requirement, and you want a France-based vendor with a named account team. Their published rate is $2/user/month, the same as ours, though it stays flat where ours steps down, so 100 seats is $2,400 against our $1,728. Their trial is sales-gated: you book a call to start it.
When MySignature is the right call
Your team is 50 people or more and per-seat cost decides it. MySignature Teams is $1.50/user at 50 and $1/user at 100, against our $1.60 and $1.44, so they are genuinely cheaper at that end. For a single professional the two are level: MySignature Core is $6/month billed yearly, the same as SyncSignature Solo. We are only cheaper in the 5 to 9 seat band, where MySignature charges $2.40/user against our $2. Above that, pick on scope: MySignature has no directory sync, no banner campaigns, and no click analytics.

Frequently Asked Questions
Not SyncSignature, at most sizes. Several tools on this table cost less per seat, and the honest answer names them. Verified 17 August 2026: CodeTwo is $1.22/user/month at 10 seats and $1.11 at 100. MySignature Teams is $2.40 at 5 seats and $1/user at 100. SyncSignature is $2/user/month, dropping to $1.44 at 100. What separates them is what the price includes. CodeTwo is Microsoft 365 and Exchange only, so it is not an option on Google Workspace, and it carries a 10-seat minimum. MySignature is cheaper at scale but has no directory sync, no banner campaigns, and no click analytics. Exclaimer’s $0.90 Starter limits you to one template, also has a 10-seat minimum, and gates analytics to the $1.75 Pro tier. SyncSignature includes every feature on the base plan with a 5-seat minimum. If raw per-seat cost is your only criterion and you are Microsoft-only, CodeTwo will likely come in cheaper than us.
SyncSignature, Exclaimer, WiseStamp, Newoldstamp, Letsignit, MySignature, and BulkSignature all support Google Workspace. CodeTwo is Microsoft 365 only. SyncSignature and BulkSignature deploy via the Gmail API with a single admin authentication. Others use browser extensions or manual methods.
Server-side: Exclaimer (on M365) and CodeTwo route outbound email through their cloud for signature stamping. Client-side: SyncSignature, WiseStamp, Newoldstamp, and MySignature inject signatures at compose time inside the email client. Server-side gives absolute enforcement but adds a third party to your mail path. Client-side preserves email privacy but depends on the add-in or extension being active.
Yes. Export your signature HTML from Exclaimer Designer, paste it into the SyncSignature editor or pick a matching template from the 100+ library, connect Google Workspace or Microsoft 365, and push live. Typical migration takes 45 to 90 minutes for teams under 100 employees. Full migration guide on the Exclaimer alternative page.
No. SyncSignature is cloud-only and supports Google Workspace and Microsoft 365 (Exchange Online). If you run on-premise Exchange, Exclaimer Signature Manager or CodeTwo Exchange Rules are the right tools.
Your last pushed signatures remain on employee accounts and continue rendering normally. SyncSignature does not use a lock-in model. Note: this is not true for all competitors. Newoldstamp uses hosted images that stop rendering on cancellation.
No. These features are not available today. If SSO, SCIM, or audit logs are procurement requirements, Exclaimer Pro/Enterprise or Letsignit Enterprise are better fits. SyncSignature competes on price, setup speed, feature flatness, and agency multi-workspace, not on enterprise controls.
SyncSignature is the only tool in this comparison with native multi-workspace support for agencies. Each client gets a dedicated workspace with isolated templates, users, and branding, managed from a single parent dashboard. No other tool in this table offers this natively. See the agency management page for details.
For individuals, yes. For team management, no, and that includes us. SyncSignature's free plan covers one signature with unlimited edits, plus a 7-day Teams trial with no card required. HubSpot's generator is free and needs no account at all, but builds one signature for one person with no deployment. Signature Hound and Signitic both have free tiers, Signitic's running to 19 employees, though it puts a Signitic badge in every signature and caps you at one template. Central deployment across a team is a paid feature everywhere we have checked.
AWS India. SyncSignature does not currently offer US, EU, UK, or AU data residency. If in-region hosting is a procurement requirement, Exclaimer (US, EU, UK, AU) or Letsignit (France/EU) are better options.
