How to Send Signatures to Teammates by Email?
SyncSignature can email a teammate their finished signature so they copy it and paste it into their own mail client. It works with any email app: Gmail on a personal domain, Outlook desktop, Apple Mail, Thunderbird, Zoho. This is the manual path, and it is the right one when a teammate sits outside Google Workspace or Microsoft 365.
If your team does run on Google Workspace or Microsoft 365, install signatures directly instead. It is fewer steps, and it does not depend on every person following instructions correctly.
When to use the email method

Be clear-eyed about the trade-off. A signature sent by email becomes a pasted copy inside that person's mail client, and nothing keeps it current. When you later change a logo or a phone number, every copy stays on the old version until you send it again and they paste it again.
That is the honest reason to install through Google Workspace or Microsoft 365 wherever you can: install email signatures to Google Workspace, or Microsoft 365 signature management for Outlook.

How to send a signature by email
- Open the signature. Go to MY SIGNATURES for your own, or open the group in GROUPS and select the teammate whose signature you want to send.
- Choose Send via Email. The option sits on the signature itself, not in a bulk menu.
- Enter the recipient address and send. The teammate receives the signature rendered in the email body, ready to copy.
- Say what to do with it. A signature sitting unread changes nothing. Tell them to paste it today, and include the steps below.
- Ask for a test email back. One reply from their real mail client tells you whether the logo loads and the links work.
For several people, repeat the send per person. If they have SyncSignature logins, it is usually faster to flip the direction: invite teammates by email and let each person copy their own current signature from MY SIGNATURES whenever it changes.
What the teammate does on their side
Tell them to copy the signature as it appears in the email body, not a screenshot of it. A pasted image loses every link and the logo stops resolving.
- Gmail: select the whole signature, copy, then go to the gear icon, See all settings, General, scroll to Signature, paste, and click Save Changes at the bottom.
- Outlook on the web: Settings, Mail, Compose and reply, paste into the signature box, then save.
- Outlook for Windows: File, Options, Mail, Signatures, paste into a new signature, then set it as the default for new messages and replies.
- Apple Mail: Mail, Settings, Signatures, paste, then uncheck Always match my default message font.

Keeping emailed signatures current
Pasted signatures do not sync. Build a small habit around that:
- Keep a list of who is on the manual path. These are the people you contact after every branding change.
- Re-send after every template edit. Dashboard signatures rebuild within 5 to 10 minutes, but nothing reaches a copy already sitting in someone's mail client.
- Send the reason with the signature. People act faster on "our phone number changed today" than on "please update your signature".
- Move people onto the integration path as they join a directory. Once a contractor gets a Google Workspace or Microsoft 365 account, add them to the group and install from there.
