How to Create Multiple Signatures for Teams?

Run multiple signatures by creating one template per variation and one group for each set of people who share it. Sales can carry a booking button, support a help center link, and the Berlin office its own address, all from one workspace. The trick is knowing which differences need a new template and which are just dynamic fields on the one you already have.

Most teams build two or three templates too many on the first pass.

When you actually need a second template

A difference between two people is not automatically a difference between two templates. Check the table before you duplicate.

The rule underneath the table: if the difference is per person, it is a field. If the difference is per team, it is a template.

Add a second variation without rebuilding

  1. Duplicate the template closest to what you need. Starting from the approved layout keeps spacing, logo size, and fonts identical across variations.
  2. Change only the element that differs. If Support needs a help center button instead of a demo button, change the button and nothing else. Every extra tweak is a future inconsistency.
  3. Rename both templates so the difference is obvious. "Company, demo CTA" and "Company, help center CTA" beat "Company" and "Company copy".
  4. Create the group that will use it. Name it for the people, for example Support or Berlin office.
  5. Assign the new template to that group, then move the relevant teammates in. Signatures regenerate as soon as they join.

Because each teammate sits in one group, moving someone is how you change which signature they carry. No need to remove them from the old group first.

One group or several

Group by how signatures differ, not by your org chart. Three teams that share a layout belong in one group, even if they report to three different people.

  • One group, one template is the default. Start here and split only when a real difference appears.
  • Several groups, one template works when everyone shares a layout but you install by office, or hand a client manager their own list.

Each split adds maintenance. A banner campaign across five templates is five edits, not one. Two templates you actually need beat six that drift apart over a year.

Departments, locations, and brands

Departments

The most common reason to split. Sales points at a booking page, support at the help center, recruiting at the careers page. Same logo, same layout, different call to action. Two or three templates cover most companies.

Locations

Office address, local phone number, and sometimes a legally required registration line differ by country. These are static values for a whole office, so they belong in a template per location, not fields each person types by hand. Groups named after offices also let you install one region at a time.

Separate brands or clients

If the logo and colors change, you are past the point where templates help. Give each brand or client its own workspace. Workspaces are isolated at the data layer: templates, directory data, teammates, and analytics. Scoped admin roles let a client manager see only their own. Agency pricing is based on total seats across all workspaces, not workspace count, so a new brand costs setup time, not a new subscription. Keeping several templates in sync

Once more than one template is live, maintenance becomes the real work:

  • Edit shared elements in every template on the same day. A new logo or disclaimer applies to all of them, and a half finished rollout is visible to customers.
  • Remember the blast radius. Editing a template updates every signature in every linked group, so you cannot test a change on part of a group. Test on a spare template first.
  • Reinstall after edits on Google Workspace, or stop doing it by hand. With Auto install off, which is the default, open each affected group, select the users, and click Install signature. Turn Auto install on for the Google Workspace connection under Integrations and template edits install themselves, which saves more work across five templates than across one.

Auto install is set once per integration, not per template and not per group, so one switch covers every variation you maintain.
