How to adjust the number of signatures for multiple workspaces

On the agency plan you buy one pool of signatures at account level, then decide how much of it each client workspace gets. The pool is the thing you pay for. Workspaces are free, so the question is never how many clients you can have, only how the signatures are divided between them.

When you first sign up, the entire pool sits in the single workspace you start with. Every workspace you create after that starts empty, so moving capacity across is a step you do deliberately, not something that happens on its own.

How to reallocate signatures

  1. Open Account. Click your profile avatar in the top right and choose Account. If you cannot see it, you are not signed in as the Owner.
  2. Read the workspace table. It lists every workspace you own across five columns: Workspace name, Signature limit, Used signatures, Remaining signatures, and Actions. You do not need to open each workspace to see where capacity is sitting idle, the table already answers it.
  3. Lower the limit on a workspace with room to spare. Use the edit control on that row. The signatures you release go back to the pool.
  4. Raise the limit on the workspace that needs them. Use the edit control on that row and set the new figure.
  5. Give the waiting people a group, or let the sweep do it. Teammates parked without a group are picked up automatically by a later sweep once a seat frees, so raising the limit is often the only action needed. Assign the group by hand only if you do not want to wait for that sweep, and avoid doing both at once on a large client.

Lowering a limit below what a workspace is already using is not how you free capacity. Remove the signatures you no longer need there first, then lower the limit. If a reduction is refused even though the table looks like it should fit, the stored usage count for that workspace has drifted from the real number of signatures. Contact support rather than deleting more signatures to force it through.

What happens when a workspace runs out

This is the part worth reading even if you never touch the table, because nothing announces it.

When a workspace hits its signature limit, adding people does not fail. Imports, CSV uploads, directory syncs, and group assignments all keep working: the teammate is created and then left with No Group Assigned, so no signature is generated for them and no seat is spent. It is a deliberate quiet state, not a bug.

That quiet handling covers the paths that add people. It does not cover everything. If you open an ungrouped teammate in a workspace that is already full and save a signature for them directly, that does return a hard error about the workspace signature limit. So the rule is: adding people to a full workspace is silent, forcing a signature onto one of them is not.

The practical effect is that the symptom you notice is indirect: people appear in TEAMMATES with no group and no signature, days after the import, and nothing in the interface connects that back to the limit. If you see a cluster of ungrouped teammates in one client workspace, check that workspace's signature limit first.

To recover: raise the limit on the Account page, then open the workspace and assign the waiting teammates to a group. Signatures are generated on group assignment.
