SyncSignature allows you to set unique email signatures not only for a user’s primary email address, but also for all their aliases in Google Workspace. This means if someone sends from sales@yourcompany.com
and support@yourcompany.com
, each alias can have its own tailored signature—helping keep branding consistent and messages role-specific.
Why This Matters #
Google Workspace users often have multiple aliases for different purposes—customer support, sales outreach, or internal communication. Without alias-specific signatures, emails can appear generic, unbranded, or mismatched with the sender’s role. SyncSignature solves this by letting admins centrally create and manage these signatures, ensuring every message is on-brand.
Step 1: Connect Google Workspace with SyncSignature #

Log in to SyncSignature and connect your Google Workspace account.

Once connected, you can import teamates into SyncSignature from Teammates section

You can authenticate through Google admin account and it will populate all domains, domain aliases, users, and their aliases – you can decide to add relevant people and their aliases as Teammates.

You can group users and assign signatures in bulk – per user and per alias.
NOTE: Aliases will be considered as additional teammate in SyncSignature account.
Step 2: Add the Alias in Gmail as “Send mail as” #
Before alias signatures will work, you need to ensure each alias is set up in Gmail so the user can send from it.

Open Gmail and click the gear icon → See all settings.

Go to the Accounts and Import tab.

Under Send mail as, click Add another email address.

Enter the alias email address and confirm it belongs to the user.

Complete the verification process (Google will send a confirmation email).
This ensures Gmail recognizes the alias as a valid “from” address.
Step 3: Configure SMTP for Alias Signatures #
For alias-specific signatures to work correctly, you must configure SMTP relay in Google Workspace.

Go to the Google Admin console.

Navigate to Apps → Google Workspace → Gmail → Routing.

Scroll to SMTP relay service and click Configure.

Set up the SMTP relay service settings (ensure it allows sending from alias addresses).

Click Save.
This ensures that emails sent from aliases pass through correctly, allowing SyncSignature to apply the right signature for each.
Step 4: Verify and Test #

Send a test email from the alias to check if the correct signature appears.

If it doesn’t, confirm that:

The alias exists in Google Workspace.

The alias is set as Send mail as in Gmail.

SMTP relay settings allow that alias.
-
The alias has a signature assigned in SyncSignature.
