What is Per-User Pricing (Email Signature Software)?
Per-user pricing charges an organization for every mailbox under management rather than charging a single platform fee. It is the dominant model in email signature management because cost to the vendor scales with the number of mailboxes being synced and stamped. In practice the model creates three questions a buyer needs answered before signing. Does the count include shared mailboxes, aliases, and distribution lists, or only licensed human users? Aliases in particular can double a seat count if counted separately. Does the count adjust when someone leaves, or is the seat count fixed for the billing term? Vendors that lock the count annually mean an organization pays for departed employees until renewal. And does the per-user rate step down automatically at volume thresholds, or does reaching a lower tier require a sales conversation? A tiered structure that applies automatically is materially different from one that requires renegotiation. Per-user pricing is distinct from per-signature pricing, used by a minority of vendors, which charges by the number of distinct signature designs rather than by mailbox and suits agencies more than in-house teams.
