Email Signature for Shared Mailbox
Email signature for a shared mailbox (info@, sales@, support@) used by multiple employees, requiring centralized configuration and per-sender identification.
What is Email Signature for Shared Mailbox?
An email signature for a shared mailbox handles the special case of mailboxes used by multiple employees rather than a single owner. Common shared mailboxes include sales@, support@, info@, contact@, hello@, billing@, and team-specific addresses. Two approaches exist. The first is a single shared signature representing the team identity (no individual name, just 'The Sales Team' or 'The Customer Success Team' with team contact info and a CTA), applied via server-side stamping at the mail server. The second is per-sender identification where the email signature dynamically reflects which team member sent the message (the rep who composed it), which requires the signature platform to know the original sender behind the shared mailbox identity. Microsoft 365 shared mailboxes use the Send As permission, and the signature platform can inspect the Send-As identity to apply the right per-sender signature. Server-side stamping with team-level signatures is simpler operationally; per-sender stamping is more polished but requires more configuration.

How does SyncSignature implement Email Signature for Shared Mailbox?
SyncSignature supports signatures on Microsoft 365 shared mailboxes via the Outlook add-in, applying the appropriate signature when a team member sends from the shared mailbox. Configuration depends on the customer's shared-mailbox setup and is typically scoped during onboarding.
