Military Email Signature
A military email signature block lists name and rank, position, unit, and official contact details in the format set by service correspondence rules, without quotes, images, or personal content.
What is Military Email Signature?
Military email signatures follow the conventions of military correspondence rather than corporate branding. A standard signature block, usually preceded by the closing V/R or Respectfully, carries the full name, rank or grade, and service, for example JANE A. DOE, Capt, USAF or John Smith, LT, USN; the duty title or position; the unit or organization; and official phone numbers, often including both commercial and DSN lines, plus the official email address. Each service publishes correspondence guidance, such as the Navy's correspondence manual and the Air Force's Tongue and Quill, and commands frequently issue local rules on top of them. Those rules commonly prohibit quotes, slogans, background images, logos other than official seals, and personal social media links, because a signature on an official account represents the service. Many commands also require a classification or handling marking on the message itself, which is separate from the signature. Civilians and contractors working with the military use similar blocks with their organization, and contractors are typically expected to identify themselves clearly as contractors so they are not mistaken for government personnel.
