Email Signature for Government Agencies

A government signature identifies the official, their role and agency, and how to reach the office, and follows rules on accessibility, public records, and political neutrality that private companies do not face.

What is Email Signature for Government Agencies?

Public sector email carries obligations that shape the signature. The standard content is the employee's name, title, division, agency or department name and seal, office address, and phone, and many agencies require a uniform layout so residents can tell official communication from impersonation. Three rules set government signatures apart. First, accessibility: US federal agencies must meet Section 508, and many state and local bodies follow the same standard, so image-only signatures and text embedded in pictures are a problem. Second, public records: email sent by public employees is often subject to freedom of information and open records laws, and many agencies add a notice saying correspondence may be disclosed to the public. Third, neutrality: the Hatch Act limits partisan political activity by federal employees on duty, and state rules often do the same, so campaign slogans, candidate quotes, and political imagery do not belong in an official signature. Agencies also commonly prohibit personal quotes and decorative images. Where banners are used, they promote public services such as service changes, consultations, or emergency information rather than commercial offers, and are reviewed by the communications office before going out.
