Video Meeting Link in an Email Signature
A video meeting link lets recipients join the sender's personal meeting room from the signature. A scheduling link is usually better, because a permanent room link can be joined by anyone who has ever received an email.
What is Video Meeting Link in an Email Signature?
Some people add a permanent video meeting link to their signature, such as a Zoom personal meeting room, a recurring Microsoft Teams meeting link, or a fixed Google Meet room, so recipients can join a call with one click. It suits roles with frequent short calls, such as support specialists, tutors, and some consultants. The drawback is that a permanent room link is sent to everyone you ever email, forwarded onward, and never expires. Anyone holding it can try to join at any time, which can interrupt the next meeting in the same room, and the meeting platforms themselves recommend waiting rooms, passcodes, or unique meeting IDs for anything sensitive. A scheduling link is usually the better choice: it shows the sender's real availability, creates a calendar event with a unique meeting link for each booking, and avoids double-booked rooms. If a permanent room link is used, enable the waiting room or lobby so the host admits each participant, label the link clearly, such as Join my Zoom room, and keep it out of signatures on external marketing email. Never put a meeting passcode in the signature, since it defeats the purpose of having one.
