Email Signature for Remote and Distributed Teams

Distributed teams change the signature problem in two ways. Operationally, there is no IT person walking to a desk, and a set of written instructions sent to forty people in six countries will produce forty different results. Server-side or directory-driven deployment stops being a convenience and becomes the only method that works. Substantively, remote signatures carry information colocated teams communicate implicitly. Timezone is the main one, because a recipient deciding whether to expect a reply today needs to know the sender is eight hours ahead, and adding a timezone or working-hours line removes a whole class of friction. A booking link does similar work, replacing the back-and-forth of finding a time. Office address becomes ambiguous: a distributed company usually shows a registered or headquarters address for legal disclosure purposes rather than implying the person sits there. Two things to avoid. Listing a personal home address, which is both a privacy problem and unnecessary when a registered address satisfies disclosure requirements. And per-person timezone text typed by hand, which goes stale the first time someone relocates and should come from a directory field instead.
