How HubSpot and SyncSignature work together

SyncSignature does not connect to HubSpot directly. It does not need to. HubSpot Sequences, one-to-one sends, Snippets, and Meeting confirmations all send email through the user's Connected Inbox, which is their actual Gmail or Outlook account. SyncSignature operates at that layer. It connects to Google Workspace via the Admin SDK and Gmail API, or to Microsoft 365 via Microsoft Graph API and an Outlook add-in deployed through Microsoft 365 Centralized Deployment. Once those connections are in place, every email your sales team sends from HubSpot carries the correct, centrally managed signature because the signature is already in place on the underlying Gmail or Outlook account.

This is the only way to enforce a consistent email signature across a HubSpot sales team. HubSpot's own signature field is per-user, self-managed, and sits inside each rep's personal settings. There is no admin enforcement, no group-based templates, no link tracking on HubSpot native signatures, and no way to update the whole team at once. SyncSignature solves all four problems by operating at the Gmail or Outlook layer that HubSpot is already routing through.

Connect SyncSignature to your email platform

If you run Google Workspace, authenticate SyncSignature with your Google Workspace super-admin account. SyncSignature connects via the Admin SDK Directory API and the Gmail sendAs API. One admin action covers the whole team. If you run Microsoft 365, connect your tenant via the Microsoft Graph API with read-only scopes and deploy the Outlook add-in through Microsoft 365 Centralized Deployment. Two consent grants. One HubSpot setting to check

The fix is simple and one-time: when rolling out SyncSignature to a HubSpot-using team, ask reps to leave the HubSpot Connected Inbox signature field empty. SyncSignature then operates without conflict at the Gmail or Outlook layer. You can verify the right setting by going to HubSpot Settings > General > Email in each user's HubSpot profile. The Connected Inbox signature field should be blank. This is the only HubSpot-side configuration change needed.
