Entra ID and Email Signatures
Microsoft Entra ID, formerly Azure Active Directory, is the identity source most Microsoft 365 organizations use for user attributes and group membership, which signature platforms read to populate and target signatures.
What is Entra ID and Email Signatures?
Entra ID is the current name for what was Azure Active Directory, and for Microsoft 365 organizations it is where the attributes that populate a signature actually live. Job title, department, office location, mobile number, and manager are all Entra attributes, and a signature platform that reads them can build a per-person signature without anyone typing anything. Group membership is the second half. Entra security groups and Microsoft 365 groups give a natural targeting mechanism, so a sales group can carry a booking link while a support group carries a help centre link, without maintaining a separate list inside the signature tool. Two practical points recur. Attribute hygiene determines signature quality, and organizations that have never enforced a standard for how job titles are written will discover it the moment those titles appear on outbound email, which is why a title cleanup usually precedes a signature rollout. And attributes that are empty for some users need a defined fallback or the signature renders a blank row, so a platform that hides empty rows automatically avoids a class of formatting problem that otherwise requires per-person templates.
