Email Signature Rollout Plan

A signature rollout goes wrong in predictable ways, so the sequence matters more than the tooling. A workable plan runs in five steps. First, agree the template and get disclaimer text reviewed, because changing it after deployment means redeploying. Second, audit directory data, since the signature will expose every empty job title and inconsistently formatted phone number the directory contains, and cleaning that up afterwards is more work than before. Third, deploy to a pilot group of five to ten people spanning the platforms actually in use, meaning at least one Outlook desktop user, one webmail user, and one person on mobile, then send test messages to external addresses and check how they render. Fourth, clear existing client-side signatures for each group immediately before applying the managed one, because leaving them produces duplicate signatures. Fifth, roll out by department rather than all at once, so a formatting problem affects one group rather than everyone. Two things belong in the plan that usually are not. A rollback position, meaning knowing how to switch the rule off quickly. And a communication to staff explaining that their signature will change and that they should not reinstate their old one.
