The short answer

greytHR does not document any outbound sync into Google Workspace or Microsoft Entra ID. Its integrations are payroll and accounting, mostly Tally, Xero, and Zoho Books, plus a partner marketplace covering background checks, insurance, and rewards. There is no identity or directory category.

So the employee data in greytHR does not reach your email signatures on its own, and the obvious fix, the REST API, is a paid add-on.

What the API actually costs

greytHR is unusually transparent here, which is worth crediting. Its plan table lists API access as an add-on on Essential and Growth, and included on Premium. Its own pricing calculator prices REST API and integration access at Rs 15 per employee per month, with SAML SSO at Rs 10 per employee per month, and explains the reasoning: these features affect everyone, so they are priced per employee per month rather than as a flat fee.

That is a real number to put in a business case. At 100 employees, API access is Rs 1,500 per month on top of your greytHR subscription, before you have built or bought anything that uses it. For a lot of teams that changes the answer from build the integration to find another way.

Why Google Workspace cannot bridge the gap for you

Google Workspace does sync employee attributes from an external directory, including job title, company, and department. But the supported sources are Microsoft Active Directory, Microsoft Entra ID, and LDAP. An HR platform is not a supported source.

This surprises people who assume a setting exists somewhere in the Google Admin console. It does not. There is no HR system field. If your HR platform does not push to the directory, and Google cannot pull from the HR platform, then nothing connects the two except a person or a script.

Three ways to keep signatures current

1. Scheduled export, no API required

Most HR platforms will produce an employee report on a schedule without touching the API. It is the cheapest bridge available and it is usually good enough, because signature data changes at the pace of promotions and new hires, not by the minute.

2. Maintain the directory as the source of truth for signature fields

Narrower than it sounds, and often the right answer for a team under 50 people. You are not trying to keep the whole directory in sync with HR. You need six fields to be right: name, job title, department, work phone, office, and photo.

Once those are current in Google Workspace or Microsoft 365, directory sync takes over. Signatures rebuild themselves from directory data, group targeting assigns the right template by department, and nobody edits a signature by hand again. The remaining job is keeping six fields honest, which is a checklist item in onboarding rather than a project.

3. Pay for the API and connect the HR system directly

The complete version, and worth it if you are large enough that Rs 15 per employee per month is noise against the cost of stale data. Reading the HR system directly also gets you the one thing a directory rarely has on time: the exit date. A signature that retires itself the day someone leaves is only possible if something is reading the system that knows.

The fields that actually matter

Whatever route you take, do not try to sync everything. Signature fields are a short list, and most of the value sits in four of them.

Always populated in practice: name, email, department. Usually populated: job title, office, work phone. Rarely populated and rarely worth chasing: manager, mobile number, profile photo.
