Why this shows up in signatures first

Stale directory data is invisible until it is on the outside of an email.

Nobody notices that Entra ID still says Account Executive for someone who has been a Sales Manager since March. Their manager does not check the directory. IT does not check the directory. But every email that person sends carries the old title to customers, and eventually a customer says something.

Worth it when the driver is bigger than signatures: joiner-mover-leaver automation, access reviews, or a security requirement that accounts get disabled the day someone leaves. If signatures are the only reason, this is more machinery than the problem needs.

3. Read the HR system directly

The cleanest version, because it skips the directory question. The signature tool reads employee records from the HR platform, so it does not matter whether Google Workspace ever learns anyone's job title.
